MemoReader ("we," "our," or "us") is committed to protecting the privacy of our users. This Privacy Policy describes how we collect, use, and share information when you use our AI-powered document transcription platform (the "Service").

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and organization name. If you subscribe to a paid plan, we collect billing information through our payment processor, Stripe.

Uploaded Documents

You may upload PDF files and images containing handwritten memos for transcription. These documents are stored securely in our cloud infrastructure powered by Supabase.

Transcription Data

When you request a transcription, the content of your uploaded documents is sent to Google's Gemini AI for processing. The resulting transcription text is stored in our database alongside your original document.

Usage Data

We collect information about how you use the Service, including login timestamps, pages visited, documents uploaded, and transcriptions requested. This data helps us improve the Service and enforce subscription limits.

3. How We Use Your Information

  • To provide and maintain the Service, including document transcription
  • To process your subscription and billing through Stripe
  • To communicate with you about your account, including service updates and support
  • To enforce our Terms of Service and subscription limits

4. Third-Party Services

We use the following third-party services to operate the platform:

  • Supabase — Database hosting, file storage, and authentication. Your data is stored on Supabase's secure infrastructure.
  • Google Gemini AI — Document transcription. When you request a transcription, the content of your document is sent to Google's API for processing. Google's use of this data is governed by their own privacy policy and data processing terms.
  • Stripe — Payment processing for paid subscriptions. Your payment details are handled directly by Stripe and are never stored on our servers.

5. Data Retention & Deletion

We retain your account information and uploaded documents for as long as your account is active. You may delete individual documents at any time through the Service. When you delete a document, both the uploaded file and its transcription are permanently removed from our systems.

6. Cookies & Tracking

We use essential cookies to maintain your login session and remember your preferences. We do not use third-party tracking cookies or advertising pixels. Session cookies are managed by Supabase Auth and are necessary for the Service to function.

7. Security

We take the security of your data seriously. All data is encrypted in transit using TLS/SSL. Documents and data at rest are encrypted using industry-standard encryption. Access to your data is protected by authentication and role-based access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate personal data
  • Request deletion of your personal data and account
  • Export your data (transcriptions can be exported as DOCX files)
  • Withdraw consent for data processing where applicable

9. Children's Privacy

The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
